Export time off calendar to Google or Outlook

Turbine lets you export your time off calendar to Outlook, Google Calendar, Apple Calendar and the calendar on  and other calendar applications such as the calendar app on your iPhone or Mac. When new requests get approved, the calendar updates automatically.

Apple Calendar

  1. Click on the Time Off menu icon
  2. Use the Filter menu to narrow the selection, for example, to narrow the view to future requests from a given team. Whatever view you select will be what you export.
  3. Click Export and then To iCal 
  4. Select ALL of the address and copy it.
  5. In Calendar, select New Calendar Subscription in the File menu
  6. Paste the address you copied earlier into the Calendar URL box.
  7. Select an Auto-refresh frequency; typically every hour or every day (there’s usually no need for more frequent updates unless you have lots of staff and they’re furiously booking lots of time off)
  8. Now the selected time off requests will appear as all-day events in your calendar.

Google Calendar

  1. Click on the Time Off menu icon
  2. Use the Filter menu to narrow the selection, for example, to narrow the view to future requests from a given team. Whatever view you select will be what you export.
  3. Click Export and then To iCal 
  4. Select ALL of the address and copy it.
  5. Open Google Calendar in your browser
  6. Click the down-arrow next to Other calendar on the left-hand side
  7. Select Add by URL from the menu
  8.  Paste the address your copied earlier into the URL box.
  9. Note: Google only updates iCal calendars once a day. This means that changes in time offs won’t show up for up to 24 hours. This is a Google issue not a Turbine bug.

Outlook 2010 and Outlook 2013

  1. Click on the Time Off menu icon
  2. Use the Filter menu to narrow the selection, for example, to narrow the view to future requests from a given team. Whatever view you select will be what you export to Outlook.
  3. Click Export and then To Outlook
  4. When the window appears, select ALL of the address and copy it
  5. In Outlook, click on the Folder tab
  6. Click on the Open calendar icon
  7. Select From Internet…
  8. Paste the address you copied earlier into the box here
  9. On the next dialogue box that appears, click Advanced…
  10. In the Folder Name box, give the calendar a meaningful name (e.g. “Turbine holiday requests”)
  11. Click OK
  12. Click Yes
  13. Your Turbine calendar will appear in the ‘Other Calendars’ area on the left hand side of the calendar display in Outlook. It may take a few minutes to appear and update itself. The appearance may vary according to the version of Outlook but the functionality is the same.
